You've finished the monthly report in Excel. The data is right, the charts look good, the totals are correct. Now you need to share it with people who shouldn't be editing it, who might not have Excel, or who need a consistent view regardless of their software. Converting to PDF is the last step.

Before you convert: prepare the spreadsheet

Excel-to-PDF conversion only captures what's visible and in the print area. A few things to check before converting:

  • Set print areas: If you only want specific sheets or ranges in the PDF, set the print area first (Page Layout > Print Area). Otherwise every sheet with data gets included.
  • Check column widths: Columns that are too narrow will display truncated data or #### symbols. Widen them before converting.
  • Page orientation: Wide tables often need landscape orientation. Set this in Page Layout before converting.
  • Page breaks: Preview how the data splits across pages. You don't want a chart split between two pages, or a table that runs orphan rows onto the last page.

Converting to PDF

  1. Open the Excel to PDF tool.
  2. Upload your Excel file.
  3. Download the PDF.
  4. Open and scroll through every page to verify the output.

Checking the converted report

Things that commonly go wrong in Excel-to-PDF conversion:

  • Charts using custom fonts that get substituted
  • Conditional formatting colors not rendering exactly
  • Hidden rows or columns appearing (or not appearing) unexpectedly
  • Freeze panes sometimes causing display issues

File naming and version control

Name the PDF with the report period in the filename: MonthlyReport_May2025.pdf. This makes it instantly identifiable when someone gets it in their email or finds it in a shared drive months later. Keep a consistent naming convention across all monthly reports so they sort correctly in any file manager.
