Sending a Word file means the recipient might see different formatting. Converting to PDF guarantees everyone sees the same thing.

Emailing a Word document has a few problems. The recipient might not have Word. Their version of Word might display your formatting differently. They might accidentally edit the document when you didn't intend them to. PDF solves all three issues. It looks the same on every device, doesn't require Word to open, and isn't easily edited.

When to email PDF vs Word

Send PDF when:

  • The document is final and you don't want it changed
  • Formatting is important (reports, resumes, brochures, invoices)
  • The recipient might not have Word installed
  • You're sending to a client, customer, or external party

Send Word when:

  • You're collaborating and need the other person to make edits
  • You want them to use track changes or leave comments
  • The document is a template they'll fill in

Most email services have attachment limits of 10-25 MB. A standard Word document with some images usually converts to a PDF well under 5 MB. If your document has lots of high-resolution photos, the PDF might be larger. If it exceeds 10 MB, consider compressing the images in Word first before converting, or use a PDF compression tool after converting.

Naming your PDF properly

Rename the file before attaching it. "document_final_v3_revised.pdf" looks unprofessional. "ProjectProposal_CompanyName_2025.pdf" is clear and searchable. Include the document type, who it's for or from, and the date or version. Your recipient will thank you six months later when they're searching their email for the file.

Protecting sensitive PDFs

If you're emailing something sensitive โ€” contracts with financials, personal information, confidential reports โ€” consider adding password protection to the PDF. Most PDF readers can open password-protected PDFs, and it adds a basic layer of protection if the email is forwarded unintentionally. Send the password in a separate message or text message rather than in the same email.
