What to check after conversion
Bank statement PDFs have quirks that can cause conversion issues:
- Date formats: Dates like "01/02/25" might be imported as text rather than date values. Use Excel's Text to Columns or date format cells to fix this.
- Negative numbers: Debits might appear as "(500.00)" rather than "-500.00". Excel won't sum these correctly until you convert them.
- Transaction descriptions wrapping: Long descriptions sometimes split across cells. Check that each row is one transaction.
- Running balance column: Verify a few running balance figures against the amounts to confirm the data is complete.
Your bank's CSV export is usually better
Before converting a PDF, check whether your bank offers a direct CSV or Excel download. Log into your online banking, find the statement download options, and look for CSV or Excel format. This gives you clean, structured data directly โ no conversion step, no accuracy concerns. Most major banks have offered this for years.
PDF to Excel conversion is the fallback when direct export isn't available โ like when someone emails you a statement PDF, or when you only have an old printed statement.
